The Audit-Ready Placement File

Everything a client's procurement team can ask for, in one place, before they ask.

4 min read10 checks

When a PSL review or client audit lands, they want the file "without delay." Build every placement to this standard as you go, and that request becomes a five-minute job instead of a two-day scramble.

01

Commercial

Signed terms of business

The current, dated version the client actually agreed, not last year's template.

Fee basis and rebate terms recorded

The agreed percentage, what triggers it, and the rebate window, captured in the file.

Key placement dates

Offer, acceptance and start dates logged, the timeline a rebate claim turns on.

02

Right to work and identity

Right-to-work check

Correct method for the candidate's status, a copy or record of the evidence, and the date seen.

Identity and qualifications

ID verified, plus any professional membership or qualification checks the role requires.

03

Vetting and references

Documented references

Written references on file, not "we called someone once." Plus any required background or DBS screening.

04

Data protection

Lawful basis and privacy notice

The lawful basis for holding the candidate's data recorded, and a privacy notice they actually received.

Retention date set

A date the data will be reviewed or deleted, and evidence you follow it.

05

Contract and onboarding

Signed candidate agreement or SoW

The contractor agreement or statement of work, signed and filed.

IR35 status determination

For contract placements: a written determination and the reasoning behind it, not "the client said so."

Audit-ready isn't extra work

It's the same work, filed as you go. If your files currently live across email, WhatsApp and a spreadsheet, Batiq&Co sets up one audit-ready system and keeps every placement defensible by default.
